The common recruitment process usually includes the following steps:
- The Line Manager creates a request
- HR Managers/CEO check the headcount and approve the request
- Human resources receive and start the recruitment process

First, to create the headcount planning and recruitment plan, you need to be HR Manager in E-Hiring (or System Owner), access E-Hiring (https://hiring.base.vn/) and follow the steps below:
Step 1: Create Positions - according to the instructions HERE
Step 2: Select "Recruitment Plan" tab
Here you will create and view the recruitment quotas for each job position, according to the annual cycle and each month of the year.
Step 3: Create headcount planning
Method 1: Manual creation
Choose cycle and select "Add headcount" in the top right corner of the screen, and fill in the detailed information.
+ Cycle: Annual cycles that you choose
+ Department: Choose one of the existing Departments
+ Position: Choose one of the created job positions
+ Employee type: Full-time/Part-time/Contractor/Trainee/Volunteer/Freelancer
+ Headcount by month: The maximum number of personnel for that position in the month.
+ Terminated employees by month (optional): fill in number of terminated employees by month
+ Working headcount at planning time: Actual number of employees at the beginning of the year (including those on temporary leave).
Step 4: Select "Save" to complete the recruitment plan creation.
Method 2: Add headcount planning by Excel
>> Hover over the Add Headcount button >> select Import Headcount
>> Click Download here to download the sample excel file to fill in the required staffing information:
>> Select the cycle to enter
>> Check the box "Update information on existing position" if you want to use the entered information to edit the headcount planning of the position that was added previously.
>> Click Select file excel to upload the completed Excel file >> Continue >> Click Import to complete.
After creating the headcount plan, at each cycle and job position, the following metrics can be viewed:
- Beginning of the year: The actual number of personnel at the beginning of the year (including those on temporary leave).
- Headcount (monthly): The maximum number of headcount for that position in month T.
- Current: The actual number of personnel in month T (including employee on temporary leave).
- To recruit: The number of employee proposed and approved but not yet hired in month T.
- To request: The number of employee that can still be proposed after deducting the number needed for recruitment in month T.
- When you hover on the To request number, you can view the details for new hires and replacements of that month.
